How to vote

Homeowners may vote at the annual meeting in person or appoint someone to vote for their lot by proxy.

Option 1

Attend and vote in person

Go to the annual meeting on October 15 and cast your ballot there. If you already returned the Association’s proxy form, the form says your attendance revokes the proxy, so be prepared to vote in person.

Option 2

Vote by proxy

Complete and return the orange proxy form mailed by the Association. We recommend doing this even if you plan to attend so your lot can still be represented if your plans change.

A proxy lets you appoint someone else to cast your lot’s vote at the annual meeting if you cannot attend. Use the form mailed to you by the Association and complete every required field.

  1. Name your proxy. On the first blank, labeled “name of assignee,” write Samuel Scott Farwell. Do not leave this line blank.
  2. Add your lot address. On the next blank, labeled “your address,” write the address of your Brighton Forest lot.
  3. Date and sign. At the bottom, date and sign the form. On the line below, print the owner name or names and the property address.
  4. Keep a copy. Take a clear photo or scan of the entire signed form before returning it.
Return it by 5:00 p.m. Friday, October 9, 2026 so the Association can record it before the meeting.

How the election is supposed to work

The Brighton Forest Bylaws, North Carolina law and Robert’s Rules establish the following sequence.

  1. The annual meeting begins at 7:00 p.m. on October 15

    The Bylaws schedule the annual meeting for the third Thursday of October and identify the election of directors as one of its purposes.

  2. Homeowners elect the directors at the annual meeting

    Homeowners cast their votes in person or through valid proxies. The candidates receiving the highest numbers of votes fill the available Board seats.

    “The directors shall be elected at the annual meeting of the Association; and those candidates who receive the highest number of votes shall be elected.” Brighton Forest Bylaws, Article V §4. Open the complete Bylaws

  3. The vote totals are reported and the chair declares the result

    North Carolina law makes Robert’s Rules the default meeting procedure unless the Bylaws provide otherwise. Under that procedure, the tellers’ report is read, the chair declares each election result and the report becomes part of the minutes.

  4. The elected directors take office when the election becomes final

    Robert’s Rules makes an accepted election final immediately. North Carolina law then places the elected Board members in office upon election.

  5. The newly elected Board meets immediately afterward

    Once the director election is final, the newly constituted Board holds its required regular meeting at the same location. The Board may elect the Association’s officers there.
